HP Email Archiving software for IBM Lotus Domino is client software that integrates with HP Integrated Archive Platform to help you mitigate the business risk associated with legal discovery, corporate governance, and regulatory compliance requirements, reduce the cost of email storage, and boost messaging server performance and availability.

HP Email Archiving software for IBM Lotus Domino delivers these benefits by automatically mining messages and attachments stored in Domino on primary storage systems and archiving them into HP Integrated Archive Platform, allowing 100% of the messages from selected individuals to be retained on highly available, high performance, but lower cost archival storage.

Selective Archiving mode provides policies to mine messages from users' mailboxes. Policies can be based on any combination of message content, age, size, sender/recipient and keyword, all of which can be applied to individual users, groups or for the total enterprise.

Compliance Archiving mode enables all messages to be automatically sent to a secure archive. This can help businesses address specific data retention regulations, such as SEC 17a-4, and internal corporate governance requirements.

HP Email Archiving software for IBM Lotus Domino integrates with IBM Lotus Notes and Microsoft Outlook so that archived messages can still be accessed through users’ standard email interfaces.

By serving as an email mining client to HP Integrated Archive Platform, HP Email Archiving software for IBM Lotus Domino leverages the comprehensive capabilities of HP’s grid-based disk archiving system, including single instancing, full-content indexing, date and time stamping, high performance searching, and a wide range of retention policies.

  • Active Archiving for IBM Domino: Automated archiving of users' mailboxes - without disruption to end users or the need for their interaction. IT gains control over which messages are held and where they are held. This leads to a dramatic cost reduction by moving older, static messages to lower cost archive storage. It also improves email server performance and reduces backup times.
  • Selective Archiving Mode: IT sets policies for mining messages out of users' mailboxes and moving them to the HP Integrated Archive Platform. These policies can be based on message content, age, size, sender/recipient, or keyword. This removes the requirement for IT to set mailbox quotas and message size limitations on users - and frees users from productivity-sapping mailbox size management.
  • Compliance Archive Mode: Automatically capture ALL messages from one user, or a group of users. This can assist companies in complying with data retention regulations, such as SEC 17a-4, while also addressing internal corporate governance issues.
  • Email Client Integration: Integrates with IBM Lotus Notes and Microsoft Outlook so that users can retrieve their archived messages directly from their standard email readers – no end user training needed.
  • Integration with HP Integrated Archive Platform: By serving as an information collector for HP Integrated Archive Platform, HP Email Archiving software for IBM Lotus notes can take advantage of the comprehensive capabilities of HP’s disk-based archiving system, including single instancing, full-content indexing, date and time stamping, high performance search, and retention policies. A link to the powerful Web-based search tool that is built-in to HP Integrated Archive Platform enables rapid searches on complex search criteria, so information can be discovered faster than using the IBM Lotus Notes or Microsoft Outlook search interfaces.
  • Integration with Active Directory/LDAP: Enables your users to leverage existing user authentication and single sign-on processes. Also enables archiving policies to be applied to individual users and groups stored in the directories.
  • NSF file migration: Consolidates uncontrolled, personal NSF files located on C: drives and file shares to consolidated, centrally managed, and easily searched archive.
  • Attachment archive: Message attachments are also automatically archived along with messages.
  • Manual "drag-and-drop" of loose documents into user's archive repository: For documents that are not sent as attachments, individual users can "drag and drop" those documents into the same archive repository as their email messages.

Legacy email data will be kept available in the archive, directly accessible through the HP Integrated Archive Platform web GUI, while the new email system is brought on-line.
  • Minimize human error and non-compliance with email policies: All archive policies are created and managed centrally, and email retention happens automatically, without any end user intervention. This removes the randomness and human error often associated with user-initiated archiving, and the costly legal settlements or financial penalties that result when end users – even high-ranking executives – don’t follow corporate policies. In addition, the "Legacy Load" function enables personal NSF files to be bulk loaded into HP Integrated Archive Platform and reconstituted as individual messages, so they can be centrally searched and retrieved for legal discovery.
  • Unprecedented end-user access to archived data: Restoring lost or deleted email to a single user’s mailbox places a tremendous burden on already overtaxed IT organizations, and this single request can cost thousands of dollars. As a result, a growing number of organizations are not supporting these requests. Using the easy-to-use search and retrieval interface that comes with HP IAP,users can gain immediate control over their own archiving needs without requiring the assistance of expensive IT resources.
