Overview

Organizations are struggling with explosive email growth. Today, 85% of business communications occur through email, and over 3,500,000 TB of business messages are sent yearly. This flood of email creates challenges for organizations with sophisticated Microsoft Exchange environments. Storage managers must contain spiraling mailbox management and storage costs. Corporate attorneys must cost-effectively search and retrieve email for legal discovery and regulatory compliance. Exchange administrators must cope with availability and performance degradation in the face of increasing storage congestion. Business users spend time cleaning their inboxes to stay within quotas.

HP Email Archiving software for Microsoft Exchange is client software that integrates with HP Integrated Archive Platform (IAP) to help you mitigate the business risk associated with legal discovery, corporate governance, and regulatory compliance requirements, reduce the cost of email storage, and boost messaging server performance and availability. HP Email Archiving software for Microsoft Exchange integrates with Microsoft Outlook and OWA to provide a seamless, virtually transparent user interface where archived messages can still be accessed through users' standard Outlook interface.

Available Selective Archiving module provides policies to mine messages from users' mailboxes. Policies can be based on quota thresholds, or any combination of message content, age, size, sender/recipient and keyword, all of which can be applied to individual users, groups or the total enterprise. Use of the Selective Archiving version can significantly reduce the storage burden on the primary Exchange servers by removing a large percentage of email data to the HP Integrated Archive Platform. This process can significantly boost the performance of the Exchange application while optimizing storage and controlling IT costs. Another benefit when using the Selective Archiving version is the ability to create user mailboxes with unlimited quotas which can eliminate the spread of PSTs and reduce the lost productivity that is a side effect of users managing their maxed out mailboxes. Users can now take control of their mailboxes and even search lost or deleted emails from the simple, easy-to-use Outlook Integrated Archive Search for an extensive range of search and retrieve capabilities.

Available Compliance Archiving module enables all messages to be automatically archived from Journal mailboxes for the entire enterprise to a secure, highly scaleable archive. Once two copies have been securely stored on a Primary and a Secondary Universal Smartcell, the message is deleted from the Journal mailbox. Information now stored in the HP Integrated Archive Platform is encoded with a digital signature, date, and time stamp to prevent tampering, as well as retention periods to prevent premature or malicious deletion of messages. This can help businesses address specific data retention regulations, such as SEC 17a-4, and internal corporate governance requirements and allow the business user to focus on the core business.

By serving as an email archiving client to HP Integrated Archive Platform, HP Email Archiving software for Microsoft Exchange leverages the comprehensive capabilities of HP's grid-based disk archiving system, including single instancing, full-content indexing, date and time stamping, high performance searching, and a wide range of retention policies. The tightly integrated Email Archiving software also leverages its unique, high performance grid architecture and "multi-dimensional" scalability which can support from hundreds to more than 100,000 users, billions of objects, and 100s of terabytes of archival storage with unprecedented performance and user access to data in seconds.

What's new

  • Outlook Integrated Archive Search - allows users to search the Integrated Archive Platform (IAP) directly from the Microsoft Outlook application using all of the familiar and native Microsoft search tools. Managing email has never been more simple, seamless and transparent and when combining this feature with the new "Quota Archive Thresholds" feature, the virtual "infinite mailbox" becomes a reality boosting productivity.
  • Quota Archive Thresholds - simplifies life for the Exchange administrator by taking the guess work out of setting mailbox quotas to ensure constant availability of email for the user while optimizing their Exchange environment.
  • Multiple Object Archiving (Calendars, Tasks, Notes, etc.) - the solution is capable of archiving an assortment of email objects including calendars, documents, public folders, and standard messages for enhanced compliance and exchange optimization.
  • Folder Capture Support - preservation of folder meta-data for archived email allows search and restore of email to the user's original, familiar folder structure providing enhanced portability and availability.

Features & Benefits

Features:

  • Active Archiving for Microsoft Exchange: Automated archiving of users' mailboxes - without disruption to end users or the need for their interaction. IT gains control over which messages are held and where they are held. This leads to a dramatic cost reduction by moving older, static messages to lower cost archive storage. It also improves email server performance and reduces backup times.
  • Selective Archiving Mode: IT sets policies for mining messages out of users' mailboxes and moving them to the HP Integrated Archive Platform. These policies can be based on maximum and minimum threshold levels message content, age, size, sender/recipient, or keyword. This removes the requirement for IT to set mailbox quotas and message size limitations on users - and frees users from productivity-sapping mailbox size management.
  • Compliance Archive Mode: Automatically capture ALL messages from one user, or a group of users. This can assist companies in complying with data retention regulations, such as SEC 17a-4, while also addressing internal corporate governance issues.
  • Email Client Integration: Integrates with Microsoft Outlook so that users can retrieve their archived messages directly from their standard email reader and existing mailboxes - no end user training needed.
  • Integration with HP Integrated Archive Platform: By serving as an information archiving collector for HP Integrated Archive Platform, HP Email Archiving software for Microsoft Exchange can take advantage of the comprehensive capabilities of HP’s disk-based archiving system, including single instancing, full-content and meta data indexing, digitally encrypted signature along with a date and time stamp, high performance search and retrieve, and retention policies. A link to the powerful Web-based search tool that is built-in to HP Integrated Archive Platform enables rapid searches on complex search criteria, and with the new Outlook Integrated Archive Search feature, end user access to information stored on the IAP has never been faster and more seamless.
  • Integration with Active Directory/LDAP: Enables your users to leverage existing user authentication and single sign-on processes. Also enables archiving policies to be applied to individual users and groups stored in the directories.
  • PST file migration: Consolidates uncontrolled, personal PST files located on C: drives and file shares to consolidated, centrally managed, and easily searched archive.
  • Attachment archive: Message attachments are also automatically archived along with messages.
  • Manual "drag-and-drop" of loose documents into user's archive repository: For documents that are not sent as attachments, individual users can "drag and drop" those documents into the same archive repository as their email messages.

Benefits:

  • Mitigate business risk: Helps avoid steep financial penalties that result from inadequate email retention and the inability to meet legal discovery, corporate governance, and regulatory compliance requirements.
  • Accelerate desired business outcomes: High performance search and retrieval minimizes the time and staff resources needed for legal discovery and litigation support, so your employees and executives alike can get back to the business of running your business.
  • Reduce e-Discovery costs: High performance search and retrieval helps you avoid the high costs of outsourcing your e-Discovery initiatives to an army of legal or IT consultants.
  • Reduce email and storage management costs: Automatically harvesting messages and their attachments from mail servers and primary storage systems and storing them in the lower-cost HP Integrated Archive Platform maximizes your existing storage and server resources.
  • Improve Exchange Server performance and availability: Moving messages off Exchange Servers and into HP Integrated Archive Platform enables Exchange to run in an unburdened state for greater performance and availability.
  • Reduce Exchange backup volume and duration: Archiving messages means smaller backups, for savings on disk and tape-based backup resources, and less impact on production messaging environment.
  • Streamline email migrations and upgrades: The secure and accessible email archive greatly simplifies the process of upgrading and migrating from one version of Microsoft Exchange to another. Legacy email data will be kept available in the archive, directly accessible through the HP Integrated Archive Platform web GUI, while the new email system is brought on-line.
  • Minimize human error and non-compliance with email policies: All archive policies are created and managed centrally, and email retention happens automatically, without any end user intervention. This removes the randomness and human error often associated with user-initiated archiving, and the costly legal settlements or financial penalties that result when end users - even high-ranking executives - don't follow corporate policies. In addition, the "Legacy Load" function enables personal PST files to be bulk loaded into HP Integrated Archive Platform and reconstituted as individual messages, so they can be centrally searched and retrieved for legal discovery.
  • Unprecedented end-user access to archived data: Restoring lost or deleted email to a single user's mailbox places a tremendous burden on already overtaxed IT organizations, and this single request can cost thousands of dollars. As a result, a growing number of organizations are not supporting these requests. Using the easy-to-use search and retrieval interface that comes with HP IAP, users can gain immediate control over their own archiving needs without requiring the assistance of expensive IT resources.
